Start the site creation by clicking the Create Site from the navbar action button.
You will see a page asking for the site’s title. The site’s title appears on the left side of the platform under the Sites section. Keep this short and meaningful, reflecting the kind of content you provide throughout the site.
A generic site is selected by default for the Site Style. Change this to the appropriate one as required.
This article focuses on the Intranet Site first, and then the other types.
Intranet Site
The platform will assign a default intranet site home page if you do not provide one. You can see the default intranet site home page content by clicking Preview under the searchable dropdown input, next to the help text.
To change this and add your own landing page, use the searchable dropdown input to search a published intranet site landing page you’ve created via the Pages app, and then click the appropriate search result. This shows only the published pages.
Check the Access panel to ensure who can see your intranet site (visibility input field) and collaborate (Collaborators input field).
We will discuss creating the site’s widget in the next step.
Once you are done with the above, click Save to create the site. You will see the Edit site page with many new panels.
Site Pages
You can add/remove pages to the site. Any page that appears in the subpages list will appear on the site’s menu, and when clicked, it will show this page’s contents and its subpages.
Use the search bar above the pages listing, in the Sub Pages, to search and add published pages to the site by clicking the Add button next to the search. Once you add a page, they are added to the listing (newly added pages get added to the bottom of the list).
A page’s title appears in the menu by default. To change this, enter a short text in the respective row’s Menu Title field and then click Save.
Additionally, you can add an excerpt to the page by clicking the gear icon in the corresponding row (if the page does not have an existing excerpt, or you want to make changes to the excerpt for that page to show for the site).
The following are the options available for each page.
Configure menu
Click the gear icon corresponding to each page in the table to show this. You will see a Menu Information panel, which is related to the specific page and the menu. Then you will also see a Site Options, which is not linked to the current page, but for the site (we will remove this in the next release and keep it with the site under the access panel).
Enter a menu title (keep it short) and Excerpt here (both are options), and then click Update.
We will discuss the Site Options after the Site Pages section.
Manage Sub-Pages
Click the file icon in the corresponding page’s row to see options to add sub-pages for the current page. The sub-pages are listed after the main page when you click the Intranet Site menu, per the configuration accessible via this menu.
Once clicked, you will see an Options panel with a few options, followed by the Sub Pages listing, which includes an option to search and add subpages.
Options:
Click Ignore background colors to omit the sub-page’s background colors and use the site’s background color instead.
Click Hide Page Footer to prevent the page’s title from showing in the sub-page listing.
The Sub-pages Display Style controls how the added list of sub-pages is displayed after the main page in the intranet site.
You can choose to show the page title and excerpts only, or only the page title, or the page title and the content, or just the page content by selecting the appropriate display style from the drop-down.
Sub Pages
Search for the published page you want to add as a subpage by typing the page’s title in the search bar, clicking the correct page from the listing, and then clicking the Add button. This will add the selected page to the table. Continue this operation until you have added all the required pages as a sub-page.
Note: adding a page to the list does not save automatically. Click the Update button to see the changes reflected on the site.
Note: Newly added pages get added to the top of the list in the table.
You can change the title of the sub-page for the Intranet Site (this affects only the Intranet Site where it shows. The original page title remains unchanged) by clicking the edit button in the Display Title column. Once you change, click the checkmark to reflect the change for that subpage.
You can reorder the subpage by clicking and dragging the row using the handle (vertical dotted icon) at the beginning of each row.
Once all required changes are done, click Update.
Manage Widgets
You can add/remove page-specific content widgets using this option. The widgets added via these options appear when the user views this page or its subpages, depending on how it’s configured.
Click the Manage Widget icon to show the widget configuration menu for this page.
Note: Widgets are optional site-wide. However, you will receive a validation error once you click Add from the Configure Page Widgets panel without adding at least one tag or content.
You can restrict the widget to the current page by clicking This Page option. When checked, this will hide the Sub page option.
Alternatively, you can search and select the subpage you added to the current page in the Manage Sub Pages menu.
Enter a label (name) for the widget in the input field under the Widget Label field.
Optionally, you can restrict the display content to a feature (app) by selecting it from the feature dropdown list.
You must at least select By Tags with a tag or By Contents with one content at a minimum to be able to create a widget. You can also have a widget with both tag-based content listing and content explicitly added using the By Contents option.
ClickBy Tags and then enter at least one tag. This will list all contents matching the tag from the viewing user’s scope.
ClickBy Contents and then search and add at least one content. This will list the content for all users with access to the site, regardless of their visibility on the content. This is ideal for showing the contents to a user without giving explicit permission to the content itself.
You can reorder the content by dragging the handle (three horizontal lines at the # column), and change its display title by clicking the pencil icon under the Display Title column, or delete it by clicking the trash icon.
Click Hide When Empty to hide this widget when the current user has no viewable contents. This is useful for By Tags widgets where the content listing depends on the viewing user’s scope.
Once done, click Add.
The widget will be added to theWidget Contents by Tags or theWidget Contents list.
Note that when you mix By Tag and By Content in the same widget, they appear in the Widget Contents by Tags list.
You can reorder the widgets within the respective list using the vertical handle and then clicking Update to reflect the change.
You can view the widget configuration by clicking the eye icon on the corresponding row, make changes to the widget by clicking the pencil icon, or delete it by clicking the trash icon.
Delete Menu and Sub Pages
To delete the page and its sub-pages, click the trash icon from the Site Pages widget.
Site Options
This will be a standalone option provided under the Access panel. However, it must be accessed via the Configure Menu currently.
Click Configure Menu to access the options that affect the current Intranet Site.
Upload a banner image by clicking the Update picture under the Banner image. Upload a 4:3 aspect ratio image (or a landscape-oriented oriented) for best effects.
Enter a Banner Title, Sub-Title, or Text in the corresponding fields. They appear the way you type on top of the banner image. You can also change their font color by setting up colors using the corresponding color selector under each of them.
Change the banner transparency by selecting the Overlay Opacity dropdown and choosing a value from the list (100% means fully transparent).
Select the banner alignment by choosing any of the nine options under the Banner Title Position field. It’s defaulted to Top Left.
You can globally choose to ignore the sub-page banner by clicking the Hide banner for Sub-pages checkbox.
Once done, click Update.
This will reflect on the published site.
Additional Widgets
You can add/remove site-wide widgets and/or home page widgets under the respective panels. They function the same as the Mange Widgets discussed above, but either site-wide or only the Intranet Site’s landing page.
Once you are done with all the changes, click Save to publish (or update) the site.
